TERMS AND CONDITIONS.

You must not make or accept any booking unless you completely understand and accepted the terms and conditions mentioned below as they outline our respective rights and responsibilities. We have the right to assume that if you ask us to confirm your booking, you have had the opportunity to read and agree to these booking conditions. By clicking on “I Agree – Continue with Booking Procedure” a legally binding contract is therefore made.

Your agreement is with Alpine Club of Himalaya, LTD, located at Chaksibari Marg, Kathmandu 44600, Nepal. You are deemed to have agreed to these Booking Conditions (which constitute the entire agreement between you and us) by booking a trip with us in writing, by telephone, digitally (online), or in person, your booking will be accepted on this basis.

The services that will be provided are listed on your booking confirmation invoice. It is also the customer’s responsibility to check that the information on an invoice/confirmation is complete and correct upon receipt. Any inaccuracies must be reported to the Alpine Club of Himalaya right away. The customer is responsible for any costs incurred as a result of failure to report.

A deposit of 20% OF THE TOTAL COST OF THE EXCURSION for each person must be sent with the booking form to Alpine Club of Himalaya, LLC to activate your reservation (unless stated otherwise before accepting your deposit).

If you book less than 30 days before departure, full payment for all program costs, including required airfare, is due immediately. To guarantee your reservation, you must pay a deposit within 10 days of submitting your booking form. The full balance is due 30 days before the start of the program and must be received by the Alpine Club of Himalaya. Payments can be made in installments at any time as long as your program is paid in full 30 days before the start date.

Deposits and subsequent payments must be made in the form of a personal check or a cashier’s check payable in USD to Alpine Club of Himalaya, or by bank transfer to Alpine Club of Himalaya. If you want to pay your deposit with a credit card, you are required to add a 4% processing fee.

Deposits or any payments are non-refundable 90 days before departure (From Kathmandu). If a client must cancel a trip, it will apply any deposits or payments made, minus any nonrefundable items such as hotel or airline-imposed fees, to any future trip.

If you change your reservation/itinerary after receiving a confirmation, you must notify Alpine Club of Himalaya in writing at least 60 days before your departure date.

Any expenses or extra costs incurred as a result of the change will be paid at the time of the change. You will be responsible for any expenses incurred as a result of flight cancellations or any administrative fees incurred as a result of any unforeseen changes in your arrival time or ability to begin the trek. Due to the nature of trekking, weather, and touring in remote and high-altitude places, the Alpine Club of Himalaya reserves the right to cancel the trek or change the itinerary. If this occurs, you will be offered an alternative excursion of a similar standard.

However, there will be no refund.

Alpine Club of Himalaya accepts no liability for any loss or damage incurred as a result of any cancellation on any account. Although we will always handle your luggage and personal belongings with great care while it is in our possession, Alpine Club of Himalaya does not accept responsibility for any loss, damage, or accident to any luggage and property when the company representative is not present.

The nature of these types of excursions requires that arrangements and participants stay flexible and adaptive. The itinerary and the ultimate goal of the excursion are regarded as aims rather than contractual obligations. It is a condition of participating in any of our excursions that you accept this flexibility, as well as the fact that Alpine Club of Himalaya cannot be held responsible for delays or changes in the program, or expenses incurred, as a result of international or domestic flight cancellations, cancellations on automobiles and other modes of transportation, strikes, sickness, weather and other forces of nature, war, quarantine, political unrest, and other unpredictable circumstances.

You will be liable for any such expenses, which may be recoverable through your insurance depending on the circumstances. To ensure that you receive adequate coverage, you must notify your insurance provider of all of these terms and conditions, including potential travel to high altitudes. On an excursion of this type, you must obey the authority of the leader, who represents procurements the leader’s decision on the tour’s activity, itinerary, and objectives are final, your assent to this is shown by signing our booking/reservation form.

If in the opinion of the leader, your behavior or physical condition is detrimental to the safety, welfare, and well-being of the group as a whole, or if the leader believes that continuing with the activity will jeopardize your general well-being, you may be asked to leave the tour without the right to a refund.

Medical vaccines and other prior arrangements, including all visa procurements (excluding TIBET/CHINA VISA), are entirely your responsibility, and Alpine Club of Himalaya undertakes no responsibility if they are not completed in time for departure. You must be covered by insurance to participate in one of our trips, which must cover the expense of repatriation and helicopter rescue if you become too unwell or injured to continue. You’ll need to get vacation insurance coverage that covers these sorts of trips. Throughout your vacation, you must carry proof of insurance

When going with the Alpine Club of Himalaya, you must have a valid passport and essential visas. Please make sure your passport is valid for at least 6 months past the end of your trip. It is your obligation to ensure that you have the proper visas for the countries to which you will be traveling. We cannot be held liable if you are denied entry to a nation or a location due to a lack of proper visa requirements.

There will be no refunds or reimbursement for any unused hotel accommodations, flight tickets, or any other unused tour service or feature. If you quit a trip willingly after it has started for whatever reason, you will not receive a refund. If you are forced to quit a trip involuntarily for any reason, the Alpine Club of Himalaya has the right to provide a refund.

There will be no reimbursements for any unused accommodations, transportation, sightseeing, meals, or services. Please keep in mind that these terms are subject to change and you acknowledge that certain events may occur during the trip, including but not limited to, accidents or sickness in remote locations without medical services, political instability, and natural forces. To the extent authorized by Nepalese law, you agree to take all risks involved with the journey and you understand that traveling with the Alpine Club of Himalaya necessitates some flexibility and that the trip route, accommodations, and modes of transportation are subject to change without notice due to local circumstances. If Alpine Club of Himalaya determines that changing an itinerary is necessary for any reason, it may do so by shortening, varying, or rerouting any trip. These changes are irreversible, and you will be charged additional fees if the reason for the change is beyond Alpine Club of Himalaya control so, reserves the right to cancel any trip you’ve booked before it’s confirmed to take place. Unless minimum numbers are stated, a trip is guaranteed to run once it has at least 1 fully paid traveler.

Any flights taken as part of your vacation will be subject to the airline’s General Conditions of Carriage and Conditions of Contract, which will be mentioned on the airline ticket. Such flights will also be governed by international law, which frequently restricts an airline’s obligation to passengers in the event of death or bodily harm, delay, or luggage loss or damage. If necessary, Alpine Club of Himalaya reserves the right to substitute other vehicles, carriers, and/or aircraft types. Alpine Club of Himalaya is responsible for this information. It is not issued on behalf of and does not bind, the airline named in it, or any other airline whose services are utilized in connection with the trips. Unless written notification is made to with Alpine Club of Himalaya within 15 days following the conclusion of the expedition, neither with Alpine Club of Himalaya the proprietors of the services supplied would entertain any complaint.

You and any other person on whose behalf you book/reserve agree to accept all of these conditions when you sign this booking/reservation form. You acknowledge that you have read the terms of this agreement and warrant that the information you provide on the booking/reservation form is complete and accurate.

Your reservation is accepted on the premise that you are aware of and accept the potential risks and dangers associated with vacations of this sort, including death.

Prior to the trip, all participants must read and accept these terms and conditions and provide a signed copy to the Alpine Club of Himalaya.  Participants understand that the trip excursion is organized by Alpine Club of Himalaya and that participating in it entails some risks and dangers, including, but are not limited to, the following:

  1. Trekking excursion in the mountains region and highlands.
  2.  Travel by plane, automobile, coach, jeep, boat, canoe, rafts, bicycle, or any other means of transport.
  3.  Unintentional sickness in distant areas with few or no medical facilities and no means for evacuation.
  4.  Accidents caused by natural factors.
  5. Itinerary may vary on circumstances beyond our control.

In consideration of the foregoing, and as part of the payments for the right to participate in such an excursion, activities, and services arranged for the participant by Alpine Club of Himalaya and their agents, associates, and employees, the participant hereby assumes all of the foregoing risks and will hold Alpine Club of Himalaya exempt from and defend them against any liability actions, causes of action, suits, debts, demands, and claims of any kind and nature.

This agreement stands as a risk release and assurance for the participant and their heirs, administrators, executors, and any members of their family, including any minors accompanying them. The participant agrees to accept all of the aforementioned risks, hazards, and conditions, as well as all additional charges that may occur as a consequence.

Insurance Disclaimer

In extreme cases, your insurance must cover any/all emergency evacuations without the need for prior approval from your insurance carrier. If action is not taken quickly in the alpine regions, the situation might develop unexpectedly.

Alpine Club of Himalaya has the right to make these decisions while keeping the safety of its visitors in mind, and will not be required to wait for clearance from insurance carriers.

As a result, the Alpine Club of Himalaya will not be held accountable in any way for any expenditures paid in carrying out the evacuation for the guest’s safety.

Risk-free Booking & Free Cancellation

For all 2022, 2023 & 2024 Departures, booked in 2022

  1. A mere 5% booking deposit of the total cost is required to confirm all 2022, 2023 & 2024 departures
  2. The second installment of 20% should be made 3 months prior to the trip start date.
  3. Final payment should be made before 1 month of the trip start date.
  4. Book Now & Travel anytime within 2022, 2023 & 2024. Your deposit is secure, transferable at your will, or rescheduled for the future date; there is no surcharge or penalty, or fees.

These rules do not apply to Holiday/ Trip Packages bought through third-party websites. They shall be governed by the terms and conditions of the website from which the Alpine Club of Himalaya was booked. Alpine Club of Himalaya will not be accountable for any refunds for excursions booked through third-party websites.

Booking via Third Party

Our flexible booking and cancellation rules apply ONLY to trips booked through our website.

The participant hereby agrees to accept all the above conditions and agrees to pay any and all additional costs that may arise as a result.
