Equipments and Packing List

This list is a guideline to help you pack for your adventure. Also understand that the items listed below will vary a little according to the season and the trek duration. Those items marked by an asterisk (*) are provided by Alpine Club of Himalaya inclusive in the service. The weight limit for your luggage is 33 pounds or 15 kg. Remember that your luggage will be carried by your porter but you are required to carry a day-pack (with your valuables or anything important) on your own. We also suggest that you pack only what is necessary.

Important documents and items

Valid passport, 2 extra passport size photos, airline tickets
Separate photocopies of passport, visa form (easily obtained at Kathmandu airport), proof of insurance
Dollars, pounds or Euros in cash for purchasing Nepalese visa at Kathmandu airport, for paying for restaurants and hotels, for gratuities, snacks, and to purchase your own drinks and gifts
Credit cards, Bank/ATM/Cash machine cards for withdrawing funds from cash machines (bring a photocopy of your cards), traveler’s checks, etc.

Head
Bandana or head scarf, also useful for dusty conditions
Headlamp with extra batteries and bulbs

Important Note

This trip operates at altitudes over 2780m (max altitude 5545m). In this itinerary we dont have much acclimatizing days, so you may experience headaches, nausea, and lethargy on arrival in Namche Bazaar, 3420m. It is important to be aware of the affects of altitude on one’s tolerance especially on going high to Namche

Terms and Condition

Alpine Club Of Himalaya Pvt. Ltd. hereinafter referred to as ACH having its registered office at Thamel, Kathmandu, is a Nepal based adventure travel company authorized by all necessary departments of Nepal Government. When you make a booking and we accept it, a legally binding contract is made. When you sign a booking form or fill one in online, you (and any other person on whose behalf you book) agree to accept all of these conditions, you acknowledge that you have read the relevant trip dossier and the General Information. You also warrant that the information given by you on the booking form is complete and true. A contract will exist as soon as we issue our confirmation invoice. Note that we will not issue a confirmation invoice, and therefore no contract will exist, until we receive a fullyCOMPLETED BOOKING form for each and every member of any party.

BOOKING TERMS AND CONDITIONS FOR ACH TRIPS
1. HOW TO BOOK:

Your contract will be with ACH. To book any of our trips, please send the completed booking form along with the copy of your passport and 20% of the total amount as a non refundable booking deposit per person per trip.

2. PAYMENT & PAYMENT METHODS:

Booking deposit payments can be made by CREDIT CARD (Visa or MasterCard ONLY) or by BANK TRANSFER.

  1. Payment by CREDIT CARDS:
  2. If you make the trip payment by credit card, 3.5% charge will be added to the amount as a card processing fee.
  3. Payment by BANK TRANSFER:
3. TRIP AMENDMENTS/TRANSFERS:

AMENDMENT: If you wish to make amendments to your trip arrangements, you must notify ACH in writing. Each amendment to your trip arrangements will incur a $30 administration fee and you will be liable for any increase in airfares or operational expenses occasioned by the amendment.

TRANSFER: If you wish to transfer from one tour to another, you must notify ACH in writing. Once ACH receives your notice the transfer will take effect and the following transfer charges will apply:

  • If your notice is received more than 60 days prior to your original departure date, a $100 transfer fee will apply. In addition, any increase in airfares or operational services will be payable by you: or
  • If your notice is received within 60 days prior to your original departure date, charges will be as per cancellation clause.
  • It may not be possible to make any transfers of the bookings within 10 days of departure. Fees for the late changes will vary from a minimum of USD 50 and above per booking, if the changes can be made.
4. CANCELLATIONS:

If you wish to cancel your tour, you must notify ACH in writing. Once ACH receives your notice, cancellation will take effect subject to the following:

  • If cancellation takes place more than 60 days prior to your departure date, your full deposit will be forfeited.
  • If cancellation takes place less than7 days prior to your departure date, 100% of the tour price will be forfeited.
  • No refunds are made if you voluntarily leave a trip for any reason after the trip starts and refunds will be at the discretion of ACH if you are involuntarily forced to leave a trip for any reason. No refunds will be made for accommodation, transport, sightseeing, meals or any services not used
5. CANCELLATION DUE TO TRIP BOOKING NUMBERS:

ACH reserves the right to cancel any trip before it is guaranteed to run. A trip is guaranteed to run once it has two fully paid travelers, unless minimum number stated otherwise. In this case you are entitled to take an alternative trip of the same value without charge or you will be given a full refund of the trip price paid by you. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage or for any loss of time or inconvenience which may result from such cancellation. A trip is guaranteed to run once it has two fully paid travelers, unless minimum number stated otherwise.

6. ROUTE CHANGES, POSTPONEMENT, CANCELLATION OR DELAY:

ACH reserves the right to change the route, postpone, cancel or delay the trip due to reasons beyond its control such as natural disasters, flight cancellations, strikes, wars, riots, sickness, quarantine, government intervention, weather conditions etc. In this case ACH will refund the trip price only.

7. INSURANCE:

It is a condition of booking a trip with ACH. Your insurance must include cover for; medical expenses, injury, death, loss of baggage and personal items and cancellation and curtailment, cost of repatriation and evacuation via whatever means necessary including by helicopter/air ambulance. If, in the event of an emergency medical rescue or evacuation from a trip of you the client, either by foot, helicopter or otherwise the responsibility for the payment of such costs will lie with the client. Any subsequent costs incurred for expenses such as hotels, food, transport etc shall be borne by the client. You must ensure that your insurance covers all of the activities you expect to participate in your trip. You must provide evidence to ACH upon your arrival. If you cannot provide the evidence of insurance you will be required to take out a suitable policy at that time. If you are not insured for any reason, you will not be allowed to continue with your trip and will not be entitled to any refund for services not provided.

8. PASSPORTS, VISAS AND IMMIGRATION REQUIREMENTS:

Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. Please ensure your passport is valid for 6 months beyond the duration of the trip. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. In some cases, full and correct passport information is required when a booking is submitted to us in order that we can obtain necessary tickets, permits and visas on your behalf. If you do not supply the appropriate and correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

9. RESPONSIBILITY:

Your booking is accepted on the understanding that you realise and accept the risks and hazards potentially involved in adventure holidays and that you are mentally and physically capable of undertaking your chosen trip. You must tell us if you have an existing medical condition or disability that might affect your holiday or other group members� enjoyment of it, before you book your holiday. If, in our reasonable opinion, your chosen holiday is not suitable for your medical condition or disability we reserve the right to refuse your booking. We reserve the right to cancel the contract if medical problems are discovered and, in this eventuality, we will give a full refund but no compensation. You are responsible for bringing with you the proper clothing and equipment, which we advise you about in our trip information.

10. HEALTH & PHYSICAL FITNESS:

Trips take place in remote areas where there is little or no access to normal medical services or hospital facilities for serious problems. Evacuation, where necessary, can be prolonged, difficult and expensive. Medical and evacuation expenses will be your responsibility. ACH reserves the right in its absolute discretion to refuse a participant the right to participate in a tour on medical or fitness grounds.

11. TRIP LEADER:

ACH nominated trip leaders take their responsibilities seriously and if for any reason a nominated tour leader believes, in his or her absolute discretion, that you should not participate in the tour, before your departure, he/she may exclude you from the tour. In this event, you will be offered the option of taking another tour considered suitable for you or a full refund. If for any reason during a tour the nominated tour leader considers you should not participate further due to you committing an illegal act, or in the opinion of the nominated tour leader, your behaviour is causing or is likely to cause danger, distress or annoyance to others, or your fitness or health is inadequate, he or she may direct you not to continue and you must follow the nominated trip leader’s instructions. In this case you will not be entitled to any refund.

12. JURISDICTION:

No employee, representative or agent of ACH other than Company Head or Directors to vary these conditions. This agreement is governed by the laws of the Nepal Government.

13. IF YOU HAVE A COMPLAINT:

If you have a problem during your holiday, you must inform your trip leader who will endeavour to put things right.

14. PROMOTIONAL IMAGES:

Any likeness or image of you secured or taken on any of our trips may be used by the company without charge in all media (whether now existing or in the invented) for bona fide promotional materials of any kind, such as brochures, website slides, video shows and the internet.

Alpine Club of Himalaya respects your privacy. We do our utmost to ensure the privacy and security of the information you provide us is protected. We do not rent or sell any personal details provided by you during booking. We also do not buy or rent information from any third parties. You only receive information from Alpine Club of Himalaya if (i) you have asked to hear from us, (ii) you have agreed to join our mailing list, or (iii) a friend has requested it on your behalf.

At any time you may request to be removed from any or all of our databases and receive no more information from us.

Impact on the natural environment and resources. 

We enforce a number of do’s and don’ts to our customers and staff when out in the wilderness. We always stay in solar powered lodges when possible, discourage showers, and only use gas or kerosine when camping. We ensure we use boiled water for drinking, and never use bottled mineral water. We also suggest putting on an extra layer of clothing rather than another log on the fire!  We avoid shortcuts through hillsides and fields to prevent erosion and we are extremely conscious of disposing waste produced by our groups in an ecologically friendly way.

What personally identifiable information is collected by Alpine Club of Himalaya?

Visitors may supply personally identifiable information such as name, address, email address, or telephone numbers for various purposes on this site, or directly to our offices and tour agents. These purposes include registering to receive e-mail newsletters, requesting further information about our trips, making a booking or simply asking a question about Alpine Club of Himalaya. You can visit our site anonymously without providing us personal details, and such, Alpine Club of Himalaya does not collect personal information from you unless you provide it to us. 

Sensitive information

Only employees of Alpine Club of Himalaya are allowed access to your personally identifiable information for operational reasons. However, credit card details are NOT stored on our database when you book, or buy products on our site.

Travel Insurances

A relaxed trip is not possible without good travel insurance. In the event of any sickness or injury, the cost of emergency treatment and evacuation is shocking. Therefore, travel insurance is strongly recommended for everyone who signs up with Alpine Club of Himalaya. Please note that we do not provide insurance coverage.

Adequate and valid travel insurance is compulsory for all travelers. Your travel insurance must cover accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue and air ambulance where applicable) and personal liability. The Company also recommends the insurance covers trip cancellation, curtailment and loss of luggage and personal effects. You must carry proof of insurance with you and produce it if reasonably requested by the company employees or suppliers. Alpine Club of Himalaya reserves the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time, including after the commencement of your trip, with no right of refund, if you are unable to provide proof of insurance when requested.

We strongly recommend that you be careful when choosing an insurance policy as some have special exceptions for adventure travel. Please ensure your insurer is aware of the HGT adventure itinerary that you are going to undertake, and is agreeable to cover all activities scheduled in the trip. For example, if you are planning on a trekking or climbing expedition in The Himalayas, your insurance must cover emergency air ambulance or helicopter rescue including medical expenses. For group tours in urban areas, ambulance or helicopter rescue is not mandatory, however it is recommended. In Tibet bound trips, there is no possibility of a helicopter rescue, thus it is not necessary for air ambulance coverage. Also, ensure your insurance policy includes trip cancellations, as all deposits paid are non-refundable.

You must send us a copy of your insurance policy (e.g. your insurance certificate) or carry it with you while you embark on this trip.
